What Is a Booking Engine, How Much Does It Cost, and When Do You Actually Need One?

Every accommodation owner eventually hears "you need a booking engine." Rarely does anyone explain what it actually is, what it costs in total, and above all whether you need it, because the honest answer is: not always.

What a booking engine is

The booking engine is your website's "reservation machine": the guest picks dates, sees real availability and prices, and completes the booking with online payment, just as they would on Booking.com, but on your own site, without the 15-22% commission. The engine keeps your calendars synchronized with the platforms (via iCal or a channel manager), so a room booked on Booking locks automatically on your site too.

The form is not the "poor option", it's the right option for a large part of Greek hospitality. In the Greek Hospitality Digital Census 2026, across the 3,152 websites measured, 50% had no form at all on their homepage. Most properties' problem isn't a missing engine, it's that guests can't even send a request.

On the Professional plan we handle the whole setup: choosing the right engine for your size, integrating it into the site, connecting payments, and syncing calendars, quoted per project, with honest advice if a form still serves you better. Frequently asked questions

What is a booking engine?+

It's the booking system of your own website: the guest picks dates, sees real availability and prices, and completes the booking with online payment, no middleman and no platform commission. It syncs with the platforms' calendars so double bookings are avoided.

How does a booking engine differ from a booking enquiry form?+

An enquiry form sends the request to you and you confirm manually: simple, no monthly costs, ideal for small properties. A booking engine completes the booking automatically with payment the moment the guest decides: more instant conversions, but with subscription and setup costs.

How much does a booking engine cost?+

SaaS booking engines typically cost €30-€100 per month plus payment fees of roughly 1.5-2.5% per transaction. Custom integrations are one-time project costs. Beware of solutions charging a percentage per booking. At 3-5% you're back in platform-commission territory.

Do I need a booking engine with 4 rooms?+

Usually not at first. With few rooms and seasonal traffic, a good enquiry form with dates converts very well and costs nothing per month. The engine makes sense once your site has steady traffic and you're losing bookings because guests can't book instantly.
